Work Orders

If Jobs are the rules that define your business operations, Work Orders are the actionable reality. A Work Order is the actual ticket generated by Upkapp that tells your team exactly what needs to be done today.

By automating the generation and prioritization of these tasks, Upkapp ensures nothing is forgotten and your team always executes the right task at the right time.

The "Set Once and Let It Run" Philosophy

In traditional systems, managers spend hours every week creating tasks, looking at calendars, and reassigning duties. Upkapp completely eliminates this administrative overhead.

With Upkapp, you set it once and let the system run the show: * You configure a recurring rule just once inside a Job. * Upkapp's engine quietly monitors the dates or Meters in the background. * The exact moment a condition is met, a clean, actionable Work Order appears on the dashboard. * Once a team member completes it, the system logs the history and automatically queues up the next cycle.

You no longer need to spend mental energy remembering to create the next task—Upkapp handles the endless loop of business repetition for you.

The Power of Automatic Prioritization

Your daily operations dashboard isn't just a random list of things to do; it is a live, self-sorting command center driven by our Smart Status algorithm.

The advantages of this automatic prioritization include: * Zero Decision Fatigue: Your team doesn't have to guess what to do first. They simply log in and work from the top of the list downward. * Risk Mitigation: High-impact, long-preparation deadlines (like legal permits or passport renewals) are automatically boosted above low-impact daily chores, even if the chore is technically due sooner. * Real-Time Responsiveness: If a metric changes via our API or manual entry, the dashboard adapts instantly, shifting urgent maintenance tasks to the top of the queue.

The Lifecycle of a Work Order

Every Work Order flows through a clear, automated pipeline:

Job Triggered ──> Scheduled / Upcoming ──> Active / In Progress ──> Done / Archived

  1. Generation: Upkapp automatically spins up the Work Order based on your Job configuration.
  2. Awareness (Upcoming/Scheduled): The task appears on the dashboard. If it has an advance notice window, it signals the team to prepare.
  3. Execution (Started): The user updates the status to show they are actively working on it.
  4. Completion (Done): The task is finalized, closing the loop and triggering the next cycle.

How to Complete a Work Order

We designed the execution interface to be as frictionless as possible so your team actually enjoys using it. Completing a task takes only a few seconds:

  1. Navigate to the Work Orders dashboard.
  2. Click on the active Work Order at the top of your list to view its details and any specific instructions.
  3. click on "action".
  4. Once the real-world work is finished, simply click the Done button.

Depending on your configuration you can - Skip work order - Cancel work order - Mark as "Done at" (if you need to registrate a done task in the past)

The moment Done is clicked, the current Work Order is safely tucked away into your permanent compliance history, and Upkapp instantly evaluates the underlying Job to schedule the next occurrence.
