Staying on top of your operations shouldn't require logging into a dashboard every hour. Upkapp keeps your team aligned and accountable by sending automated, high-level summaries of active tasks directly to any designated email inbox.
What are Upkapp Notifications?
Notifications in Upkapp are scheduled email digests that summarize active Work Orders requiring attention. Instead of sending a separate, annoying alert for every single task update, Upkapp compiles everything into a clean, actionable overview.
To ensure strict control over account communication, only the Master User (the account creator) has permission to create and manage notification configurations.
đź’ˇ Ultimate Flexibility: You are not limited to just one notification setup. You can create multiple notification configurations tailored to different departments, managers, or schedules within a single Upkapp account.
How to Create a Notification Rule
To set up a new email digest, navigate to Menu > Settings > Notifications and configure the following parameters:
1. Name (Reference)
Give your notification configuration a clear, recognizable name (e.g., Finance Department Summary or Weekly Fleet Overview). This name will appear in the subject line or header of the email so recipients instantly know the context.
2. Frequency & Timing
Choose how often the email summary should be sent: * Daily: Sent every single day to keep tight control over fast-moving operations. * Weekly: Sent once a week. When selected, you can specify the exact day of the week you want the digest to fire (e.g., every Monday morning).
3. Status Filtering
Select which specific work order statuses should be included in the email summary. * Note: Because the main purpose of this digest is to prompt action, completed or inactive statuses—such as Cancelled, Done, and Skipped—are deliberately unavailable for notifications.
4. Group Filtering
Target the notification to specific areas of your business by checking the appropriate Groups. For example, you can route a "Facilities" notification only to your maintenance team. * Pro Tip: If you want the email to include absolutely everything across your entire company, simply leave the group selection blank to send data from all Groups.
5. Recipients
Add the email addresses of the people who need to receive this summary. You can input any valid email address—recipients do not necessarily need to be registered Upkapp users, making this perfect for keeping external stakeholders, clients, or upper management informed.
Practical Example: Multi-Notification Setup
Because you can create multiple rules, a typical business might structure their Upkapp notifications like this:
- Notification 1: "Daily Leadership Alert"
- Frequency: Daily
- Statuses: Late
- Groups: All Groups (left blank)
- Recipients: CEO and COO emails.
- Notification 2: "Weekly Maintenance Overview"
- Frequency: Weekly (Mondays)
- Statuses: Not Started, Started, Upcoming
- Groups: Facilities, Fleet Operations
- Recipients: Maintenance Supervisor and external workshop partner emails.
