How the Smart Status Algorithm Works
Instead of looking only at the calendar deadline, Upkapp's algorithm continuously calculates an urgency score by weighing two distinct factors:
- The Due Date: The final date by which the task must be completed.
- The Advance Notice Window: A user-defined period that dictates how early you need to start preparing for, or be aware of, a specific task.
By analyzing the ratio between the remaining time and your custom advance notice window, Upkapp determines which tasks represent the highest operational risk and dynamically rearranges your dashboard list.

- Not started: The wor order is now due but did not reach deadline to complete
- Started: The team has acknowledged the task and active work has officially begun within the scheduled timeframe and did not reacj deadline to complete.
- Started late: Work is started, not completed and have reached deadline.
- Upcoming: The task is approaching and has just crossed into your user-defined advance notice window, signaling that it is time to start planning or preparing for it.
- Scheduled: The task is safely planned for the future and currently sits well outside its advance notice window, requiring no immediate action.
- Cancelled: The specific work order was intentionally aborted and will not be executed during this cycle.
- Skipped: This specific work order was intentionally skipped. The system logs the skip for transparency and automatically focuses on the next scheduled cycle.
- Done: The work order has been successfully completed, verified, and closed out. The system immediately archives this instance for your compliance history and calculates the next cycle.
How to Configure Advance Notice
To optimize the Smart Status algorithm for your specific business risks, make sure to define the preparation window whenever you create or edit a Job:
- Navigate to Items and open an asset.
- Click Create Job (or edit an existing one).
- Locate the Advance Notice field.
- Input a realistic timeframe based on the real-world friction of the task:
- Routine cleaning/checks: Set to
