The Upkapp Logic: Core Concepts
To get the most out of Upkapp, it is essential to understand the underlying logic of the system. While many apps just use a flat list of tasks, Upkapp uses a structured hierarchy designed to handle the complexity of real-world business operations without creating clutter.
Everything in Upkapp flows through a simple, four-tier structure: Groups > Items > Jobs > Work Orders.
The Four Pillars of Upkapp
1. Groups (The Categories)
Groups are your top-level organizational folders. They define the broad areas of your business or life that require control and oversight. * Examples: Security, Facilities, Fleet, Finance, Compliance, IT Infrastructure.
2. Items (The Targets)
An Item lives inside a Group. It represents the specific asset, logical division, or topic that requires maintenance or repetitive action. Items are highly flexible and don't just have to be physical machines. * Physical Examples: Delivery Van, Main Elevator, HVAC System, Fire Extinguisher. * Logical Examples: Q3 Taxes, Corporate Passports, Marketing Reports, Facility Leases.
3. Jobs (The Rules)
Jobs are the engine of Upkapp. A Job is attached to an Item and defines the configuration of the repetitive task. It tells the system what needs to be done and exactly when or how often it should happen. * Examples: "Annual Engine Revision," "Renew License Every 5 Years," "Monthly Oil Check." * Counters & Meters: Jobs don't just run on dates. You can link a Job to a numeric counter (like mileage or hours of use). Upkapp provides a fast, 5-second interface to update these meters, and the system will automatically trigger the task when the target number is reached. It's possible to update counters using our API.
4. Work Orders (The Action)
While Jobs are the rules, Work Orders are the actual, actionable tasks generated by those rules. When a Job's criteria are met (a date arrives or a meter hits its target), Upkapp automatically creates a Work Order. You execute the work, mark the Work Order as complete, and the system instantly looks at the Job's configuration to calculate and schedule the next Work Order.
Putting It All Together: An Example
Let's look at how this hierarchy translates into a real-world scenario. Imagine you need to manage your building's fire safety.
Here is how you would map it out in Upkapp:
- Group: Security
- Item: Fire Protection System
- Job A: Monthly Extinguisher Validity Check
- Job B: Annual Leakage Test
- Item: Fire Protection System
How the automation works: Because you created "Job A," Upkapp will automatically generate a Work Order for the "Monthly Extinguisher Validity Check." When your team inspects the extinguishers and clicks "Complete" on that Work Order, Upkapp immediately creates a new Work Order for exactly one month later.
