Dynamic Scheduling
In standard calendar apps and basic to-do lists, recurring tasks are rigid. If a task is due on the 1st of the month and you complete it late on the 10th, the next instance remains fixed for the 1st of the following month, ignoring reality.
Upkapp solves this real-world operational problem with Dynamic Scheduling. When enabled, our system calculates the next work order due date based on the actual completion date of the previous work order, rather than the originally planned date.
Static vs. Dynamic Scheduling
Understanding when to use each scheduling mode is key to automating your business workflow effectively:
Static (Fixed) Scheduling
The next due date is anchored to a fixed calendar schedule, regardless of when or if the previous task was completed. * Best for: Tax deadlines, legal compliance, quarterly board meetings, or any task attached to a hard regulatory date. * Example: If corporate taxes are due on the 15th of every month, it does not matter if you file them early on the 10th or exactly on the 15th; the next deadline is always fixed for the 15th of the following month.
Dynamic Scheduling
The clock resets only after the work is actually done. The next due date shifts dynamically relative to the completion day. * Best for: Preventive maintenance, cleaning routines, inspections, or any upkeep task where the interval between actions is what truly matters. * Example: Building facade cleaning or equipment calibration.

Here is how the two modes handle a delayed task:

How to Enable Dynamic Scheduling
- Navigate to Items and select your asset.
- Create a new Job or edit an existing one.
- Locate the Scheduling Mode options.
- Select Dynamic Recurrence.
- Input your frequency interval (e.g., every 15 days).
- Click Save.
From now on, the exact moment a user marks the active Work Order as Complete, Upkapp's algorithm automatically reads the completion timestamp, adds your defined interval, and seamlessly schedules the perfect next deadline.
