Items

Items live directly inside Groups and represent the specific targets of your repetitive tasks and tracking. In Upkapp, an Item is a highly flexible concept: it can be a physical asset that requires maintenance, or a logical division (such as a legal or financial topic) that requires regular oversight.

By defining your Items clearly, you map out exactly what needs attention within your business operations.


Physical Assets vs. Logical Divisions

Unlike rigid industrial software that only tracks physical machinery, Upkapp allows you to track anything that demands routine control.

Physical Items (Assets)

These are tangible pieces of equipment, vehicles, or property that require hands-on upkeep to function correctly and safely. * Examples: Delivery Van #1, Main Server Rack, Office HVAC Unit, Forklift B.

Logical Items (Topics/Divisions)

These are intangible areas of responsibility, compliance requirements, or business processes that must be reviewed periodically to avoid legal or financial penalties. * Examples: Software Licenses, Corporate Passports, Monthly Accounting, Trademark Renewals.

How to Manage Items

Creating a New Item

  1. Navigate to the Items section in the main menu.
  2. Click the Add Item button.
  3. Name: Enter a clear name for the Item (e.g., Main Office Elevator).
  4. Group Assignment: Select the appropriate parent Group from the dropdown menu (e.g., Facilities).
  5. Description (Optional): Add extra context, such as serial numbers, model types, or specific notes that will help your team.
  6. Click Save

Tip: Upkapp has info icons all over the app to quickly explain what each field means.

Editing or Moving an Item

If your company structure changes, you can easily modify your Items: * Open the Item from your dashboard and click Edit. * You can update its name, description, or even change its parent Group if you need to reclassify it.
