Templates

Setting up an operations or maintenance tracking system from scratch can feel overwhelming. To accelerate your initial setup, Upkapp includes a powerful Templates engine. This allows you to import pre-configured organizational structures instantly, or export your own workflows to share them with other users.


What is an Upkapp Template?

A template is a blueprint of a workflow. It packages a ready-made hierarchical structure consisting of Groups, Items, and Jobs into a single configuration.

There are two sources of templates in Upkapp: * System Templates: Standard industry frameworks provided natively by Upkapp (e.g., standard fire safety setups, general fleet checklists).

  • User-Shared Templates: Custom workflows built and shared by other professionals within the Upkapp community.

Core Characteristics of Templates

Before you begin using templates, it is important to understand how they interact with your account data:

Structure Only (No Historical Data)

Templates only copy the structural layout and the configuration rules of your jobs. They do not contain historical records, completion logs, or old work orders. Importing a template is an automated pre-configuration tool, not a data migration process.

Safe, Non-Destructive Merging

When you import a template, Upkapp merges the new structure into your existing account environment. It will never overwrite, substitute, or delete any of your currently registered groups, items, or jobs without explicit user action. It safely appends the template data alongside your current setup.


Creating and Sharing Your Own Templates

If you have built an exceptional tracking structure for your business, you can package it into a template to deploy it across other branches or share it with peers.

  1. Navigate to Menu > Templates in the main navigation.
  2. Select the option to Create Template.
  3. Choose the specific Groups, Items, and Jobs you want to include in the blueprint.
  4. Generate the template.
  5. Upkapp will provide you with a unique Template Code. Anyone with this code can instantly replicate your entire workflow structure in their own Upkapp account. You can also unshare or delete a template at any time.

Importing and Activating a Template

  1. Navigate to Menu > Templates.
  2. Select Import Template and enter the unique template code or choose from the system gallery.
  3. Follow the on-screen instructions to finalize the import.

Because templates are generic blueprints, they arrive with baseline default dates. The very first thing you must do after importing a template is to audit each new Job and map it to your real-world calendar.

Open the newly imported Jobs, update their parameters, and use the Restarting a Job feature (Save and Restart) to anchor the starting date precisely to your company's actual operational schedule.
